Tasks
The Tasks page in TimeWise provides an overview of all scheduled callback appointments. Here you can filter, manage, and execute tasks using the integrated phone functionality. This is where your team can efficiently handle callback tasks.
Overview of the Tasks page
When you go to the Tasks page, you'll see by default an overview of:
- All callback appointments for today.
- Status "To Process": Only tasks that still need to be executed.
You can adjust filters and selections to see exactly the tasks you need.

Filter options
Category
Choose to only see callback appointments from a specific category, such as Urgent Questions or Repeat Prescriptions.Status
Filter tasks based on their current status:- To Process: Tasks that need to be executed.
- In Progress: Tasks that are currently being handled by a user.
- Cancelled: Tasks that no longer need to be executed.
- No-show: Tasks where the caller was not reachable.
- Completed: Finished tasks.
Period
- Today: Only shows tasks from the current day.
- Always: Shows all tasks, regardless of date.
Testing the phone integration
The Test button is available to check if the phone integration is working properly. This is especially useful to prevent problems before a user starts executing callback tasks.
Tasks in table format
After setting your filters, a table is displayed with the following information per task:
- Category: The category of the call task.
- Date: The scheduled date of the task.
- Deadline: When the task must be completed.
- Status: The current status of the task.
- Caller ID: The phone number that will be called.
- Actions: Buttons to manage and execute the task.
Managing tasks

When you click the Actions button:
- The task is blocked for other users, so only one person can execute the task.
- A detailed menu opens with the following information and options:
Task details
- Status: Current status of the task.
- Date and scheduled time: When the task is scheduled.
- Caller ID: Identification of the caller (phone number).
- Notes: Ability to add administrator notes.
- Logs: History of the task, including:
- Which users have performed actions.
- Whether calling has already been attempted.
- Status changes.
Available buttons
- Change status
- Completed: Mark the task as successfully completed.
- No-show: Mark the task as not reachable.
- Cancelled: Cancel the task.
- Bubble integration
Open the Bubble integration (in collaboration with Red Cactus) for CRM functionalities. - Call
Start a phone call via the integrated phone functionality.
Example usage: Executing a task
- Set filters: Filter the tasks to only see Urgent Questions from today.
- Open actions: Select a task and click Actions.
- Check the details: Review the status, notes, and logs to be prepared.
- Start calling:
- Click the Call button to start the conversation.
- Always adjust the status after the conversation (Completed, No-show, or Cancelled).
