Spoken Messages

Adjusting spoken messages in Plainwise gives your organization the flexibility to fully align communication with your own tone and style. Whether it's a welcome message, queue information, or selection menus.


Managing Spoken Messages

Spoken messages in Plainwise are divided into two categories:

  • Universal Messages: Standard messages that are shared with all tenants.
  • Custom Messages: Messages that are personalized for your organization.

You can edit all universal messages and convert them to custom messages. For example, you can change 'Press 3' to 'Press 3', or even create completely new messages that are only used within your tenant.

Spoken translations

Always check all active languages for each spoken message if they were automatically generated. Listen to the examples for verification.


Adjusting Spoken Messages

Follow the steps below to personalize existing messages:

  1. Navigate to Admin > Spoken Messages in the portal.

  2. Select a message:

    • Choose the list of Custom or Universal messages.
    • Find the desired message from the list.
  3. Adjust the message:

    • Edit text: Edit the content as desired.
    • Adjust speaking speed: Set the speed of the text.
    • Listen to preview: Click 'Preview' to check the changes.
    • Change all languages: Check 'Change for all languages' to automatically generate the changes in all active languages.
  4. Click Save to save the adjustments.

  5. The recordings are generated. If a universal message has been adjusted, it now appears under 'Custom'.

Tip: By adjusting the speaking speed, you can tailor the messaging to your specific target audience, such as elderly or young people.


Adding New Spoken Messages

Adding new messages is ideal for menu options or temporary notifications.

  1. Navigate to Admin > Spoken Messages in the portal.

  2. Click Create to create a new message.

  3. Fill in the following details:

    • Description: Give the message a clear name.
    • Text: Enter the text that should be spoken.
    • Speaking speed: Set the desired speed.
    • Listen to preview: Check the recording with Preview.
  4. Click Save.

  5. The message appears under the 'Custom' tab.

Note: New messages are automatically translated into all active languages. Always check if the translations are correct.


Take your time

Take your time to listen to examples of the spoken messages before making adjustments. Try making a phone call yourself after the adjustments to experience the changes.
