Backup Functionality

Plainwise's backup function is designed to provide access to important data, such as callback requests, even when the portal is not available. This ensures that the operational continuity of your organization remains guaranteed.


Setting up backup in the portal

To use the backup functionality, you must set it up correctly in the portal:

1. Where do you find the backup settings?

  • Go to Admin > Backup in the Plainwise portal.
  • Here you can generate and manage a backup token.

2. Save the token

  • Generate a token by clicking the "Generate new token" button.
  • Important: Save this token in a safe place. You need it to access the backup.

Important to know

Every time you generate a new token, the old token becomes invalid. Make sure you safely store the new token.

3. Access control

  • Only users with a registered admin email address within the tenant have access to the backup function.
  • Ensure that all relevant administrator roles are correctly set up in the portal.

Retrieving the backup

When the portal is not available, you can download callback requests via backup.plainwise.com. Follow these steps:

1. Log in to the backup environment

  • Go to backup.plainwise.com.
  • Enter the phone number that your tenant uses as an incoming line (found in Admin > Backup).
  • Enter the backup token that you saved earlier.
  • Confirm your identity by filling in the CAPTCHA and click Log In.

2. Download the backup

  • After successful login, you can click "Download Callbacks" to download a CSV file.
  • This file contains all callback requests that have been saved up to the moment of the backup.

What should I do if I lose the token?

You need to generate a new token in the portal (Admin > Backup). Keep in mind that the old token becomes invalid.

How often should I test the backup function?

We recommend testing the backup function at least once per quarter. Check the availability and performance of the system via status.plainwise.com to ensure everything works correctly and you're prepared for unexpected situations.
