Categories
Categories play an important role in TimeWise. They help you organize and prioritize callback requests and tasks clearly. By setting up categories correctly, you ensure efficient handling and improve the user experience for both your team and your customers.
Accessing categories
You can find the categories in the portal by going to the Admin tab of Categories. Here you can:
- Adjust or remove existing categories.
- Create new categories.
Managing existing categories
In the overview, you can adjust or remove existing categories:
Adjusting a category
- Select a category from the list.
- Edit the following properties:
- Interval: Adjust the time between callback moments within this category.
- Color: Choose a color to visually distinguish this category.
- Save the changes.
Removing a category
- Click on the desired category.
- Select Remove.
Note: Removing a category does not automatically remove the callback requests linked to it.
Creating new categories
Follow these steps to create a new category:
- Click Create Category.
- Fill in the following details:
- Name: Give the category a clear name, for example "Urgent Questions" or "Administration".
- Description: Give a brief explanation of the purpose of the category.
- Interval: Set the time (in minutes) between callback moments in this category.
- Color: Choose a color to make this category visually recognizable.
- Forward planning: Enable this option if callers can schedule appointments in this category on future days.
- Click Save to add the category.
Example configuration
Suppose you want to create the category Repeat Prescriptions. This can be configured as follows:
- Name: Repeat Prescriptions.
- Description: For callback requests related to repeating medications.
- Interval: 15 minutes.
- Color: Green.
- Forward planning: Enabled, so patients can schedule appointments for future days.
Tips for category management
- Use colors wisely: Choose contrasting colors to easily distinguish categories from each other.
- Keep descriptions short: Ensure that the explanation of a category is clear and concise.
- Adjust interval based on need: Set a shorter interval for urgent categories and a longer interval for less urgent categories.
With the right category settings, you ensure a clear schedule that aligns with the needs of your organization. Get started directly in the Portal to manage your categories.
